Managing Forms After the SiteManager Migration to SmartForms
Overview
All forms that were previously created in Site Manager — including ITPs, Safety, and quality forms — have now been migrated into Commnia’s native SmartForms module.
This change gives you faster access to your data, more advanced form management tools, and enables future AI-powered features across reporting, insights, and automation.

Why Forms Have Moved to SmartForms
SmartForms is Commnia’s dedicated form engine and provides significantly more capability than Site Manager forms, including:
Improved Dashboards and Visibility
Advanced Filtering and Categorisation
Faster Excel exports
Better tracking across locations and teams
Mobile and offline support
A foundation for upcoming AI features
To support this, all forms are now managed centrally in SmartForms.
What Happened to My Existing SiteManager Forms?
All existing forms attached to SiteManager items have been migrated into SmartForms.
When you open a SiteManager item that has a form attached, it will now open the form in SmartForms.
The form content and history are preserved.
The form is no longer editable in SiteManager.
This ensures all forms benefit from the same enhanced functionality going forward.
Navigating Between SiteManager and SmartForms
The integration works both ways.
From Site Manager
Opening a form from a Site Manager item will automatically redirect you to Smart Forms and open the corresponding form.
From SmartForms
Any form that originated from Site Manager includes a link back to the original Site Manager item.
This allows you to view the related task or record while managing the form in Smart Forms.
Important: Forms can no longer be edited in Site Manager. All updates must be made in Smart Forms.
Creating New Forms Going Forward
New ITPs and forms can only be created in SmartForms.
Forms can no longer be created inside Site Manager.
This ensures consistency, better reporting, and access to all current and future features.
The SmartForms dashboard gives you a clear, real-time overview of all forms.
You can see at a glance:
1. Form name
2. Company
3. Assigned users
4. Assosiated Locations
5. Completion progress (questions answered)
6. Dates
Forms can be Grouped by:
Category: Category of Form: ITP's, WHS, SWMS, etc.
Location: Site Locations
Template: By Name of Form
Recipient Company:
Using the Advanced Filters: can narrow down the search even further, this makes it easy to manage large volumes of forms across multiple sites or projects.
Track completion in real time
This provides full visibility across teams and projects.
Exporting Forms to Excel
SmartForms includes fast, one-click exports to Excel.
You can:
Export filtered results
Generate structured Excel files
Use pivot tables and reporting tools
Apply AI or analytics tools to your data
This significantly reduces manual reporting and audit preparation time.
Accessing SmartForms on Mobile
SmartForms is fully available on mobile devices.
From your mobile, you can:
View all assigned forms
Check form status and progress
Open and complete forms on site
Submit responses directly from your device
The mobile experience mirrors desktop, so teams don’t need to learn a separate workflow.
Offline Access
SmartForms works offline on mobile devices.
When offline, users can:
Open forms
Complete questions
Capture data on site
Once the device reconnects, all data syncs automatically — no manual uploads required.
