1. Send Quotation/Tender Request

3. Create Procurement Request

We recommend you link the Procurement Request to the Quote; this is optional of course but it provides your team and the applicant transparency 
Once you have selected the successful applicant, you may open any of the email sent to him, the best option would be the email with their quote, if you have not received such an email, then you may reply to his Intention to Quote or Quote email

  1. Open the email and reply to successful applicant only.
  2. Change the email category to "Procurement Request". Please note, you cannot select a category that belongs to a "For Quote" module. This is to protect your privacy, you may however, select any other email category.
  1. If you have a Form, you'd like to attach to the Procurement Request, try converting it to Commnia Smart Form, the forms are easy to create and fill, and the information can be exported to Excel for review. For information on how to create a form template, click here, and for instruction how to attach a form to an email, see below;

4. Assign for Approval

You may skip this step if you have the authority to submit a procurement request. However, if you would like to include an approval process to your workflow, follow the steps below


  1. Create the Procurement Request and Save as Draft (do not send the email to your colleugue).
  2. Create a task from the email and assign to your colleague to approve.  This will create a new task with a link to the email.
    You must save as draft before you see the "Create Task" button, 


  1. Once your colleague opens the task and clicks on the email link, they may send the email or reply to the task requesting you send the email.
