With Commnia it is easy to review, send, collaborate and approve multiple documents.
1. Accessing, Selecting and Marking up Multiple Documents
From the Main menu, select Markup & Send Documents just under the Document Control section.
Select Add Document followed by Document Register
Select All the documents you wish to Mark up and share for collaboration.
From here you can choose to Mark up the documents via the Mark Up tools by selecting the document. For a comprehensive guide on how to do that click here
Once you are happy with your Markups click on Send
The following confirmation will appear, select Create Email
2. Sending your documents for collaboration
Select your email category, your recipients add your subject and a brief description. Once you are ready click on send
As you want the recipients to collaborate on the documents we don't select "Send Privately"
Select Send.
3. What our Collaborators see
Each recipient will receive an email with a link to review the documents.
From here they will be able to add comment and annotations:
1. Clicking on the document name to opens the document viewer
2. Each document will have the name of recipients listed under its heading,
3. Using the markup tools to add comments and annotation.
4. When finished they can click on Submit Comments.
All comments will now remain as a digital footprint for that drawing and can be accessed anytime. This is critical as if there was ever a dispute or defects noted, you can always look back and see a history of discussion, markups that were submitted and who had approved it.
Each markup will be autosaved as a draft. Draft comments are only visible to your colleagues who have access to the project as long as inbox email is turned on for collaboration.
Each markup you add will be time-stamped and detailed as a list on the right panel, click on the text box to close the comments panel
Submit Comments will create an email and all parties on the list can now view markups and comments you have added
You can return to email anytime by clicking on the email icon (envelope situated on the top left)
4. Document Review
As each recipient adds and submits comments, it will sync together and all parties' markups on the list will be visible.
1. Each document will have a text box and a number to indicate the number of markups submitted
2. You can navigate between documents by clicking on the arrow icon
3. You can view all comments and annotations made by each recipient simply by clicking on the checkbox next to the file name, all submitted markups will be displayed
4. If you would like to see markups made by only one or selected recipients, simply select or deselect an individual recipient by clicking on the checkbox next to their name
As you can see with the above example, the documents have been stamped for approval by using the Stamp Tool.
