Create New Site Issue | Desktop

 Here we will show you how to record and manage Site Issues with Commnia.


1. Create New Site Issue

Navigate to the menu bar icon and click Site Manager under Quality + Safety.




Navigate to New and select Defect from the dropdown list. 



2. Complete Issue Details

  1. You can specify the Priority of this issue, giving the people involved an idea of how important the issue is to complete. 
  2. Enter the Due Date.
  3. Enter the location by typing or selecting from the drop-down list. If the location doesn’t exist, you can add from the drop-down list and will be saved.
  4. Type the Name of the Responsible User or Company, and then select from the list of options to assign the issue to this user/company. If you need to create a new contact, click on the orange + icon. To see how to add a new contact click here.
  5. Type a Description for the issue.
  6. Upload photos or documents from your local device or the register.
  7. Click Save or Save & Send to create the Issue. The Save & Send option will email the responsible user of the issue.
It is optional to add CC to inform the relevant users. 
Users who have been copied will only have access to view the issue, they will not be able to edit or close the issue.
However, they can communicate via the chat log.  



3. Attachments Commnia Forms, Document Register and Local Drive

You can attach forms created in the Smart Form module, these can range from ITP, ITC, WHS and many more, you also have the ability to attach documents from your register or files from the local drive.

  1. Navigate to the appropriate tabs on the right hand of the screen
  2. Click on Upload
  3. Search for the desired Form, Document or Files
  4. Select Attach



4. Chat | Work Log on Items

Click on one of the issues to view the details. Each issue contains a messenger style communication area, allowing the issue creator and owner to communicate on the issue. This may contain clarification questions or progress updates.  

  1. Click on Chat/Worklog
  2. Enter your Comment to reply to the contact
  3. Click on the Send Icon to save comment. 




The Related Items shows you all dependant tasks that have been forwarded on to other users, by clicking on the subtask it will direct the user to view the related task.
