Send Tender Package to Contacts by Custom Group

Commnia's SmartGrid has been designed to help you automate and send documents faster and to the right people using intelligent automation. 

You can create transmittal and tender packages and distribute them directly to your project trade and user groups.

Add Contacts by Group to your Tender and Transmittal Package

1. Click on Recipients from the main menu bar and Select Contact by Group.

The lists will show User Groups relative to the project you are in.

User Groups will categorise your contacts based on the groups you have created with the contacts assigned to these groups, i.e site team, design team etc.

2. You have the option to view User Groups from previous projects by selecting from the Project drop-down list.

3. Select Contacts 

1. Click on the group name on the left panel to see the list of contacts in the User Group

2. You can individually select the contacts you want to include by clicking on the relative checkbox. Alternatively, you can click on the top checkbox to select all contacts in the group on that page.

3. Click on Select to include them in the tender/ transmittal grid.

Once you click Select you will be taken to the Trades page, which will categorise the contacts you have added based on the trade that they perform.

On this screen, you have the following options;

1. Add/Remove Trades and Groups

2a. Add additional users to the Trade

2b. Delete multiple users from the Project

2c. Remove Unawarded Users and Remove Users from Package

3. Remove the individual user from Package or Delete User from Project

4. Once you have completed the recipient list, click Close.

5. New Tender SmartGrid Package

The recipients will now be added to the Tender/Transmittal package.

• The number above each trade group tells you how many of your contacts belong to that group.

• By clicking on this number, you will be taken back to the Trades page and it will display a list of those contacts and the ability to Add/Remove contacts as per previous steps.
