How do I send a form for completion?

Quick answer: From Smart Forms in Commnia, click the "Send for Completion", add your recipients, location, and due date, then hit Send. Recipients will receive the form ready to fill out.

Steps

  1. Navigate to the menu bar and click Smart Forms under Quality + Safety
  2. Use the Search bar and dropdowns to find the form you want to send
  3. Click the Send for Completion icon on the form

  1. Search for your form using the search bar and the drop down filters
  2. Select the form or multiple forms you wish to send
  3. Add your recipients and collaborators (if applicable)
  4. Select the location the form belongs to from the dropdown (if applicable)
  5. Set the due date and enter your message
  6. Click Send to distribute the form
Idea
Please Note Forms with one recipient and multiple collaborators will create 1 entry in Submissions. (useful for ITP's with multiple trades)

What to expect

Recipients will receive the form and can complete it independently. If collaborators were added, they will also have access to the form alongside the primary recipient.


Common issues

Problem: You need multiple parties to complete the same form separately. Cause: Adding multiple people as "To" recipients sends them separate instances, which may not be your intention.

Fix: Add only 1 recipient in the "To" field and add the remaining parties as collaborators so everyone completes the same single form together.
