Purpose
Commnia sends a notification email for all open, pending issues and defects to the responsible user. To ensure that the relevant individuals are promptly notified about their assigned tasks, enabling them to stay informed and take necessary actions.
Steps
Defects will be used as an example, but the instructions will also work for other issues.
The Defect notification received by email will have a link in the body which is a connection to the defect details page.
Click on the 'Access your Defect' to be taken to your defect page in Commnia.
There are 4 sections to manage the defects and issues assigned to you;
1. Update defect status and notifications; the user responsible for the defects initially has four options; accept, accept & complete, forward, or reject the task.

Accept: You accept the defect and you will notice updated options appearing including Complete or Reject.

Accept and Complete: You accept the defect and have completed works. It will flag the defect as complete and send a notification back to the task owner for review and closure.

Forward: You can forward the defect to another user

Reject: You do not accept the defect assigned to you, it will send a rejection notification back to the task owner to reassign, reallocate or close.
2. Upload photos or documents from your local device or the register to the defect details page
3. Each defect contains a messenger style communication area, allowing the contact the defect is assigned and the defect creator to communicate on the defect. This may contain clarification questions or progress updates.
4. Related Items shows you all dependant tasks that have been forwarded on to other users, by clicking on the subtask it will direct the user to view the related task.
1. Manage 'Accepted' Defect
If you had initially selected Accept, you will notice revised options to manage the defect.
Click back on the defect from the list to open the details page.
The defect details page now only has options: Complete, Forward or Reject.
Marking the task as Complete will flag the task as complete and send a notification back to the task owner for review and closure.
The owner of the task can either close the defect acknowledging that the defect has been completed; moving it to a closed status or they can reject the defect you have marked as complete, which will reassign the task back to you, the responsible user.
If you select Reject after accepting the task, it will send a rejection notification back to the task owner to reassign, reallocate or close.
2. Attach Completed Works Photo and Mark as Complete
1. Select Local Files tab if you would like to add a completed works photo from your local device.
2. Click Upload to attach a photo from your local device.
3. Once you have made the updates, click Complete. The person who assigned the defect will get a notification for review and closure.
3. Chat/Work Log
Enter your new comment to reply to the contact, and click on Send message.
