How do I give an external user full Document Register access on a project?

Quick answer: System Administrators can grant external users access to the full Document Register for a specific project directly from the Project Register — just toggle the Full Register Access setting on for the relevant user.

Only System Administrators and Document Controllers can allow full register access.

Steps

Navigate to the Main Menu and select Project Register under Operations



  1. Select the project you wish to manage
  2. Click the Users tab
  3. Toggle the Full Register Access column on for the relevant user


Once the toggle is orange, the user has access to all documents in that project.

What to expect

The external user will immediately have access to the full Document Register for the selected project. Access is project-specific, this does not affect their access on any other projects.

Common issues

Problem: The Full Register Access toggle is not visible
Cause: You may not have the required permissions to manage user access, or you are not viewing the correct tab
Fix: Ensure you are on the Users tab within the project, and that your account has System Administrator permissions

Problem: The user still cannot see all documents after the toggle is enabled
Cause: Some documents may not yet have been accepted into the register
Fix: Check that all relevant documents have been accepted into the Document Register
