New Site Diary Entry | Mobile

Commnia Site Diaries allow internal users to log data based on progress and conditions on the building site. Data can be logged progressively throughout the day on-site by any user with access via your mobile device.

1. Accessing Your Site Diary

To access your Site Diary, login to your Commnia Cloud account and select your desired project.

From the main menu, select Site Diary.

You will be taken to the Site Diary screen:

2. Creating a Site Diary

Click on New + icon to create a new Site Diary Entry.

Enter the date of the Site Diary; it will default to today's Date. Click Save.

  1. Your name will automatically populate the Issued By field
  2. Enter the Weather Conditions for the day. You can select more than one condition such as "Sunny" and "Windy". You can add weather conditions by typing directly into this field.
  3. Enter the Site Conditions for the day. You can select more than one condition such as Wet and Muddy. You can create new site conditions by typing directly into the field and click + to add.

4. Enter any lost time for the day.

5. Enter any Site Visitors for the day by simply typing names and click + to add.

6. Enter any Summary Notes for the day.

7. Click on Save to continue.

3. Copy a Previous Site Diary

Alternatively, you can Copy a previous Site Diary in order to save valuable time.

  • The date of the New Site Diary you wish you create (the current date will be automatically displayed, however, you are able to edit this if needed).
  • The date of a previous Site Diary you wish to copy.

After both dates are correct, click Save.

You will be taken to your new Site Diary which has been successfully copied.

You are now able to edit details, simply click on each category and make changes accordingly and, then click Save complete your changes.

4. User Notes

After the Site Diary has been created, all users with access are able to add User Notes.

Simply type your notes and press Save. The user’s details, date and time posted will be displayed along with their note on the Site Diary.

5. Add Labour

To add labour to the Site Diary, select Labour from the top menu banner.

Click on Add Labour to add labour details.

The following menu will appear ;

Click + Add icon to open Contact List | Users and Groups

You are able to select multiple contacts from the pop-up.

Enter labour start and finish times. Click on Now for the current time to be automatically inputted into the entry.

You have an option to add a description of labour activities.

Click Save to Continue.

6. Trade Attendance

Trade Attendance from the top menu, you are able to fill out all details for one company’s trade attendance. Click Save.

  1. Select the Company from the drop-down list.
  2. Select the relevant Trade from the list.
  3. Enter the Number of Labourers on site for the day.
  4. Enter the Collective Hours worked for the labourers. Example if 6 labourers worked 8 hours, enter 48 hours into this field.
  5. Enter the details of the Activity performed for the day.
  6. Click on Save to update the Site Diary.

You can input multiple Trade Attendance.

7. Other Attendance

The Other Attendance section allows you to record consolidated non-trade hours by an individual. Click on the Other Attendance tab.

  1. Enter the Name of the Company or Representative.
  2. Enter the Time that they Arrived on Site.
  3. Enter the Number of Labourers on site for the day.
  4. Enter the Total Combined hours Worked by Labourers (2 labourers X 8 hours = 16 hours)
  5. Enter the Details of the Activities Performed while on site.
  6. Click on Save to update the Site Diary

8. Safety Incident and Notes

This section allows you to record notes for the day such as Accidents, Near Misses or Safety Issues. Click on the Safety Incidents/Notes button.

Select Category from the list and add Safety Notes.

9. Tool Hire

The Tool Hire section allows you to record any tools being hired or lent to the project team. Click on the Tool Hire tab.

  1. Enter the Name of the Project Contact who has hired the tool.
  2. Enter the Name of the Tool being hired.
  3. Enter the on Hire Date.
  4. Enter the Expected off-hire Date.
  5. Enter Who is to be Charged for the Tool to Hire.
  6. Enter the Details of the tool hire.
  7. Click on Save to update the Site Diary.

10. Delays

The Delays section allows you to record lost time during the day. Click on the Delay Tab.

  1. Enter the Delay Category.
  2. Enter the Amount of Lost Time for the day.
  3. Enter Comments/Further Details about the delay.
  4. Click on Save to update the Site Diary.

11. Back Charges

The Back Charges section allows you to record any back charges for the day. Click on the Back Charge tab.

  1. Enter the Company Liable for the back charge.
  2. Enter the Number of Lost Hours.
  3. Enter the Reason for the back charge.
  4. Click on Save to update the Site Diary.

12. Deliveries

The Deliveries section allows you to record any deliveries to site during the day. Click on the Delivery tab.

  1. Enter the delivery details.
  2. Click on Save to update the Site Diary.

13. Photos and Files

The Photos and Files section allows you to upload any construction progress photos or files. Click on the Photos and Files tab.

Take a photo to attach, and/or select the relevant files from your device.

After the files have uploaded, click on Save to update the Site Diary.

14. Reports

There are two standard reports you can run from the Site Diaries function. Company Activity and Daily Report.

Once you have completed Site Diary Entry, you can scroll to any of the tabs to review information.

To see the list of all Site Diary Entries click on X to close.

You will be taken to the main Site Diary page.

For Reports click on the Graph Icon.

The Daily Report displays a summary of the Site Diary for a particular date. Enter the date of the Site Diary you'd like to run the report for and click go.

The report will display all details entered into the site diary as per below example.

The Company Activity Report displays a summary by labour hours by Company.

Enter the date range you would like the report to be based on.

You can further narrow down the result by who created the activity or by Company by entering in the fields accordingly.
